Safer Recruitment Policy

The Man In The Moon uses safe recruitment practices to ensure that all individuals working with the children in our care are safe and qualified. This policy outlines our recruitment procedures for paid crew members and volunteers.

 

Advertising the Vacancy

  • All vacancies will be advertised with a statement about our commitment to safeguarding children.

 

Initial Enquiry

​

  • Potential candidates will receive a job description, person specification, application form, and our Safeguarding Children policy.

  • The application form includes:

    • Instructions for handwritten completion.

    • A declaration of the accuracy of provided information.

    • A section under the Rehabilitation of Offenders Act for any relevant offences.

    • Contact details of two referees, one being the last employer or course tutor for first-time job seekers.

 

Interview Procedure

  • Selected candidates will be notified by letter and asked to bring:

    • Proof of identity (e.g., passport, driving licence, birth certificate).

    • Proof of address (e.g., utility bill, bank statement).

    • Proof of qualifications (e.g., certificates).

    • Proof of the right to work in the UK (for non-British nationals).

  • Interviews will be conducted by at least two interviewers, using a consistent set of questions, and addressing any gaps in employment history.

  • Candidates will participate in a session with children for observational purposes.

  • Final selection will be made after all interviews and observations.

Appointing a New Crew Member

​

  • The successful candidate will receive a written offer, subject to suitable references, an enhanced DBS certificate, and confirmation they are not disqualified from working with children.

  • We will contact referees and initiate an enhanced DBS check or verify their status on the DBS Update Service.

  • Candidates will complete a health questionnaire.

  • Unsuccessful interviewees will be notified.

  • Photocopies of qualification certificates and proof of identity will be kept on file.

Induction and Training

​

  • New crew members will receive:

    • Terms and conditions, and will sign a contract.

    • All policies, confirmed by signing a Policy Confirmation Form.

  • A full induction and orientation program will be conducted.

DBS Checks

​

  • Enhanced DBS disclosures are required for all crew members, students, and volunteers working unsupervised with children or having access to children's information.

  • New crew members will not work unsupervised until a satisfactory DBS certificate is reviewed.

  • A written risk assessment will be conducted if a new crew member starts pending DBS completion, and they will not have unsupervised access to children.

  • The Central DBS Record will document the date and number of DBS disclosures, updated every 3 years.

 

Disqualification

​

  • We will not employ individuals disqualified under regulations of the Childcare Act 2006. Crew members must sign a declaration upon starting and annually to confirm their status.

  • Employment will be terminated if a crew member becomes disqualified, and Ofsted will be notified.

​

Immigration Status

​

  • We comply with the Asylum and Immigration Act requirements, checking the right to work in the UK for all new starters.

  • Candidates must provide documents confirming their status (e.g., driving licence, passport, NI number).
