At The Man In The Moon, we prioritise the privacy and confidentiality of children and their parents/carers to ensure trust and confidence in our services.
Respecting Confidentiality:

Parents/carers have access to their child's records, excluding information about other children.

Crew members discuss individual children only for planning and group management purposes.

Confidentiality training is provided to all crew members during their induction.

Information provided by parents will not be shared with third parties without explicit permission, unless there is a safeguarding concern.

Concerns regarding a child's safety are documented in a confidential file and shared strictly with the designated Child Protection Officer (CPO).

Employment matters concerning crew members are kept confidential to those involved in personnel decisions.

Confidential records are securely stored in lockable files, with digital records password-protected.

Students on work placements and volunteers are briefed on and required to adhere to our Confidentiality Policy.
Sharing Information with Outside Agencies:

Information is shared with outside agencies only on a need-to-know basis and with parental consent, except in cases involving safeguarding or criminal matters.

Instances where information is shared without consent are recorded in the child's file, accompanied by reasons for disclosure.

We ensure that only relevant, accurate, and up-to-date information is shared with external parties.
